The Fall Festival didn't start as the large event it is today. It began nearly three decades ago as a simple "Welcome Autumn" Chili Cook-Off hosted by the residents of Elm Street. Over the years, as our neighborhood grew, so did the enthusiasm. The Chili Cook-Off merged with the annual community bonfire, eventually evolving into the multi-faceted festival we know today.

The core mission, however, remains unchanged: to provide a zero-cost, family-friendly gathering that fosters connection, celebrates our collective home, and provides a welcoming atmosphere for new residents. The spirit of the festival is defined by two key elements: neighborly collaboration and the potluck principle. It is an organic, grassroots event that truly belongs to everyone who lives here.

The Essential Details: When, Where, and What to Expect

Before diving into the planning, let's confirm the core logistics for this year's event.

  • Date: Saturday, October 28th (Rain Date: Sunday, October 29th)

  • Time: 4:00 PM – 7:00 PM

  • Location: The Central Green Space (The large common area adjacent to the Community Pool and Clubhouse).

  • Cost: Absolutely Free! Just bring a dish to share and your neighborly spirit.

  • Provided by the Association: Grilled Hot Dogs (including vegetarian options), Bottled Water, Lemonade, Coffee, Plates, Cutlery, Napkins, and a Bonfire setup for S’mores.

The Call for Volunteers: Where the Real Magic Happens

The Fall Festival requires over 50 volunteer hours to execute smoothly. We are specifically looking for help across four key areas. This is your chance to meet new neighbors and earn valuable volunteer hours for student groups!

1. Setup Crew (3:00 PM – 4:00 PM)

This team is responsible for transforming the Green Space into a festival hub. Tasks include setting up tables, arranging the potluck stations, hanging lights, setting up the bounce house perimeter (professionals handle inflation), and positioning trash/recycling receptacles. This is a great role for anyone who likes active, hands-on work.

2. Activity Leads (4:00 PM – 6:30 PM)

These volunteers run the main attractions. We need four Activity Leads:

  • The S’mores Master: Manages the bonfire area, keeps the s'mores supplies stocked, and oversees fire safety.

  • The Trunk-or-Treat Coordinator: Organizes the vehicles in the designated area and manages the flow of trick-or-treaters.

  • The Game Runner: Supervises the "Donut on a String" game and the simple prize distribution.

  • The Food Table Monitor: Ensures proper labeling of dishes, assists attendees with serving utensils, and keeps the buffet line organized.

3. Floaters and Safety Monitors (4:00 PM – 7:00 PM)

This is the most crucial role. Floaters move through the crowd, addressing immediate needs like spilled drinks, directing new arrivals, and most importantly, ensuring child safety near the play structures and the bonfire area. Floaters are the eyes and ears of the event.

4. Teardown Crew (7:00 PM – 8:00 PM)

The unsung heroes! This team efficiently disassembles the tables, collects remaining supplies, and ensures the Green Space is immaculate upon conclusion. Many hands make light work—we aim to have cleanup complete in under 45 minutes.

Fall Festival Safety and Parking Guidelines

Safety is paramount, especially with the bonfire and children's activities running concurrently.

  • Parking: The two rows closest to the Green Space entrance will be coned off for Trunk-or-Treat participants only and their vehicle decorations. All other attendees are asked to utilize street parking or the far parking lot near the tennis courts. Please do not block driveways!

  • The Bonfire: The designated fire pit area will be marked with a safety perimeter. Absolutely no children under the age of 14 are allowed inside the safety perimeter unless accompanied by an adult, and they must remain standing behind the S'mores Master's table.

  • Pet Policy: Well-behaved dogs on leashes are welcome, but please ensure they remain clear of the food tables and the high-traffic activity areas. Please clean up immediately after your pet.

  • Weather: In the event of heavy rain or sustained high winds, the festival will be automatically moved to the rain date of Sunday, October 29th. A decision will be posted on the website and the community Facebook page by 12:00 PM on Friday.
